CORPORATE ADMINISTRATION DIVISION

This division administers the formal business and procedures of the Council and its committees (including the election process), and provides office services (word processing, telephones, reception, stationery etc) for the department, or in some cases the whole of the Civic Offices. It also deals with a range of corporate publicity and information.

Committee Administration Upwards Icon Select another Task

The Committees section's main role is to service the Council's Committees by preparing agendas, clerking the meetings, writing minutes, and dealing with work arising. The section also has a wide number of associated administrative duties such as the issue of Bus Permits, the opening of tenders, street collection licences etc. It also co-ordinates the needs and responsibilities of elected Members by registering their declared interests, collating and delivering their post, providing publications and a number of other functions.

The Committee Section Staff arrange formal tender openings.

The Elections Section is responsible for producing the Annual Register of Electors (which involves a house to house canvass of 30,000 properties) and for running elections. The description of the role is simple, but the work is sometimes complex and often pressured. The Chief Executive Officer is legally responsible for both functions, but on a day-to-day basis the two Elections staff are managed through the Head of Corporate Administration, and to deal with the workload when Elections are held, other departmental staff assist as required.

The Division provides a number of corporate support services (eg reception, switchboard, non-I.T. telephone support, ordering of publications) used by all departments of the Council, as well as departmental services such as word processing. Many of the routine but important departmental functions, such as filing, sickness records, time sheets, stationery, furniture and equipment are controlled by the small office services section.

Public relations and dissemination of information Upwards Icon Select another Task

Central co-ordination of press releases, and publications, such as the Borough Guide and Annual Report, is undertaken by the Head of Corporate Administration with the assistance of members of the Committee section ( the Council has no Public Relations department). The Committee section also undertakes the maintenance of various registers (outside bodies, etc) and publishes reference material (eg information handbook) which is not service-specific.

Word Processing Upwards Icon Select another Task

This essential section provides for the word processing and document production needs of the Department. Some operators are trained in graphics as well as word processing packages, and work is subject to regular quality control monitoring.
